It combines a ZIP-code lead finder, business contacts, a location product planner, margin analysis, machine recommendations, a placement contract creator and a route dashboard. The homepage tagline is "Find your next profitable vending location in 60 seconds."
It is a software product, and the company makes a point of saying so. Its terms of service call VendBuddy "a software tool" and "not a vending broker, a placement agency, or a guarantor of business results." There is no franchise package or income promise. VendBuddy handles the research and the paperwork, and the relationship with the property stays with you.
The site is written for two kinds of users: a first-time operator with no industry experience, and an operator growing a route toward 20 machines or more. According to the about page, the team operates and services machines itself, and the platform is "the tooling we wanted for our own routes."
How does VendBuddy find vending machine locations?
It takes three steps, and the first one is free.
1. Search a ZIP code. Enter any US ZIP, choose a radius of 1, 5, 10, 25 or 50 miles, and pick a location type: manufacturing and warehouse, office, apartment complex, school, gym, medical office, hotel, or all types at once. Narrower types such as urgent care, dental offices, laundromats and car washes are further down the list. Each result shows the business name, address, category, website, an employee-count estimate and a revenue-potential rating of High, Medium or Low. Businesses with thin data are marked "Limited data" instead of getting a guessed score.

2. Check, then reveal. Before you spend anything, VendBuddy shows which job title to ask for, such as an operations manager at a warehouse or a facilities director at an office campus. Verify Business confirms the place is open and shows its Google rating and website, free up to 50 times a day. When a business looks right, one credit reveals the best contact on file: the owner or manager when available, with whatever name, title, email and phone the data holds.
3. Close it and move on. From an unlocked lead you can generate a written pitch (2 credits), open a meeting kit, add the deal to your pipeline, plan the product mix, check margins and generate a placement contract with a scope of work.

Anyone who has paid for a stale lead list will like this part. You can look at every warehouse within 10 miles, check which are still open, and only then decide which three deserve a credit. What you spend follows your own judgement.
What happens after you unlock a lead?
The app's sidebar has three groups: "Find it," "Close it" and "Run it." Starter and Pro unlock the closing and route tools, which is what sets VendBuddy apart from a plain contact database. The in-app screenshots in this review come from VendBuddy's product demo, which uses sample data.
Pipeline. A drag-and-drop board with stages for Saved, Contacted, Meeting, Contract Sent and Live, with unlimited deals on paid plans.

Pitches and print material. Besides the AI-written pitch, paid plans include scripts, flyers and machine wrap templates, which help when you visit a building and want to leave something behind.
Contracts. The Contract Creator pulls the location and property manager from your pipeline and fills in a vending services agreement. The demo shows five styles: Basic, With Detail, Revenue Share, Clawback, and Modern + Rev Share. A separate tool writes the scope of work. VendBuddy's terms call these templates "starting points" and recommend a local attorney review them before anyone signs, which is sound advice for any placement agreement.

Products and margins. The product catalog lists more than 600 SKUs with cost, sell price and margin, and flags items below your margin target so you can reprice them. The location planner helps you decide what to stock for an office crowd compared with a gym.

Route dashboard. Once machines are live, the dashboard shows revenue, average margin, a revenue trend and a location leaderboard, plus a daily briefing on renewals, restocks and slipping margins. Machine Finder. Pick one of 19 property types, from laundromats to transit hubs, and the Machine Finder shows matching machines with a price and a conservative monthly estimate per location. Types include AI smart coolers, bulk candy, claw machines, ATMs, ice, protein drinks and massage chairs. For most modern indoor spots, VendBuddy recommends the SandStar AI smart cooler, which it sells and supports directly for $4,995 to $6,995. A clear disclosure notes that the other machine links are Amazon affiliate links.

Calculators and guides. The free tools page has a vending time calculator (how many machines your weekly hours can support), an ROI calculator and a revenue calculator by property type. The pricing page puts it simply: "Searching is free. A contact costs about 33 cents." That is Starter with all 150 credits used. Pro works out to about 26 cents and annual Starter to about 23 cents. VendBuddy compares this with traditional vending lead services at $350 to $500 per meeting. A contact is not a booked meeting, and you still do the visiting, but the gap explains why a self-serve tool appeals to operators watching every dollar.
A few billing details worth knowing:
- Billing runs through Stripe, monthly or annually, with no contract and no cancellation fee. After you cancel, access and remaining credits last until the end of the paid period.
- Refunds cover your first subscription payment only, within 7 days, and only if no credits were used. Renewals and credit packs are not refundable.

Marketplace. The VendBuddy Marketplace is where operators buy and sell routes, single machines and "hand-raised" leads from businesses that asked for a machine. Sellers list for free with no commission. Free members see listings 7 days after they post, while a $49 one-time Priority Pass (included with any paid plan) shows them on day one. VendBuddy never holds the money and points larger deals to a licensed escrow company.

Requests from property managers. Offices, warehouses and apartment buildings can request a free vending machine through VendBuddy. The design makes sense. For a first-time operator that removes a lot of guesswork, and for someone with ten machines and a spreadsheet problem it removes a lot of tabs.
The tone stood out to us too. VendBuddy says a reveal may lack an email, that software does not close the deal, that contracts need a lawyer's eye and that enterprise sales teams should look elsewhere. A company that publishes "Real limitations" about its own product is easy to give a free trial.
